JOB SUMMARY
The Intake Specialist is responsible for all phases of the Intake process including, but not limited to, answering calls from prospective patients, their families and referral sources, providing program, services, information, and triage, and completing the intake process for admission.
The Intake Specialist exercises compassion, empathy, passion, and care in every interaction (calls, emails, texts, chats, etc.) while coordinating patient admission to a facility. They work in conjunction with all members of the treatment team and all other necessary departments to facilitate seamless and timely admission to Prevention and Recovery Center (PaRC).
DUTIES & ESSENTIAL JOB FUNCTIONS
The duties listed below reflect the general details considered necessary to describe the principal functions of the job as identified and shall not be considered as a detailed description of all work requirements that may be inherent in the position.
Responsible for maintaining all the documentation involved with the Intake process. Including but not limited to verification of identification card (ID’s), insurance card and/or prescription card, including scanning documents into KIPU.
Develop and maintain seamless communication and partnership with the clinical, medical, nursing departments, financial counselors, Admissions Department, and Care Coordination, and other departments.
Collect co-pay and deductibles and set up recurring payments as necessary.
Assist in verification of benefits when needed.
Create, maintain and supplement documentation of payment, benefit verification, and patient engagements and assessments as required in relevant platforms; CyberSource, Salesforce, KIPU and Office 365.
Track financial and other key financial data on the required spreadsheet in collaboration with other departments, including the financial counselor within the facility.
Provide positive patient engagement within 24 hours and 72 hours to new patients admitted to the facility and complete patent engagement documentation in KIPU.
Provide an orientation for release of information, confidentiality, and storage of valuables.
Provide each patient with a welcome kit and provide an initial orientation to PaRC.
Provide an overview of PaRC, answering questions related to their treatment experience.
Respond to inquiries and referrals from individuals, families and referring providers in a timely and professional manner and brief appropriate administrative, clinical and/or medical staff on these matters.
Complete all consents as required and appropriate including legal, employer, Employee Assistance Programs (EAP).
Coordinate Family Medical Leave Act paperwork and documentation with Care Coordinator.
Contact referral sources to confirm receipt of referrals.
Maintain consistent and accurate documentation through KIPU or other internal CRM and EMR systems, including but not limited to patient admission photograph.
Daily reports at the start and end of shift and tracking of information therein utilizing Microsoft Teams and verbal communication to communicate relevant information in real time as necessary.
Conduct assessments and questionnaires with admissions as is necessary.
Positively promotes PaRC to prospective patients, families, visitors, and employees.
Greet every new admission in the parking lot or at the door and provide positive communication to patients discharging from the leaving the facility.
Assist care teams with completing patient assessments including PHQ-9, RAS, SAS, and exit interviews, etc.
Regular and predictable attendance per employee handbook is an essential function of the job.
Performs other duties as assigned.
QUALIFICATIONS
• High school diploma or equivalent required with college degree preferred.
• One-year experience in healthcare admissions in the mental health or substance abuse field preferred.
• Demonstrated computer proficiency. Experience with Office 365, KIPU EMR/ CRM, Salesforce.com or similar software preferred.
COMPETENCIES
• Demonstrated ability to build trust and establish rapport with potential patients, their families and referral sources.
• Excellent customer service skills and ability to interact with colleagues and patients in a professional manner.
• Demonstrated adherence to acceptable ethical and behavioral standards of conduct.
• Participation in continuing Professional Development.
• Basic knowledge of strategies for treating alcohol, cocaine, and other drug abuse.
• Knowledge of medication-assisted therapy.
• Knowledge of 12-step programs.
• Ability to follow phone scripts.
• Ability to provide education and information to potential patients concerning substance abuse treatment.
